How to Plan and Organise Your Wedding Group Photos Without the Stress
Group photos are a wedding day essential. They capture your favourite people together on one of the most important days of your life. These are the photos that end up framed on mantlepieces and passed down through generations. But let’s be honest, they can also be a logistical nightmare if not properly planned. Standing around waiting for guests to gather while everyone else enjoys the drinks and canapés is frustrating for everyone. The good news is that with a little preparation, group photos can be quick, smooth and even enjoyable. Here is how to make it happen.
1. Why Group Photos Are Important
Your wedding group photos will likely include your immediate families, closest friends and other important people in your lives. These photos are more than just snapshots. They are treasured memories that will hang on walls, sit in albums and be shared for years to come. Group photos ensure that you have a record of everyone who celebrated your day with you.
2. The Challenges of Group Photos
Group photos can be time-consuming and stressful if not well-organised. Common issues include guests going missing when it is their turn, the designated person rounding people up getting distracted by conversations and additional last-minute group requests that disrupt the flow. However, all these challenges can be avoided with proper planning.
3. Nominate Two Runners
Choose two people to help gather guests for group photos. These should be organised, confident and loud individuals who know most of your guests or are not afraid to find out. Ideally, one person from each side of the wedding party works best. This does not need to be your best man, maid of honour or a family member. But it cannot be either of you. Your runners will be essential in keeping the group photo session on track.
4. Communicate with Your Runners in Advance
Let your runners know well before the wedding that this is their key role. Explain how important it is for them to keep things moving and ensure that everyone is where they need to be at the right time. Getting this right will save valuable time on your wedding day and allow you to spend more time enjoying the celebration.
5. Create a Sensible List of Group Photos
You will receive a pre-wedding questionnaire where you can list the groups you want in your wedding photos. Think carefully about who you want in these photos and be realistic about how many groups you have. Even the most efficient group photos take a few minutes each to organise. Consider how long you want to spend on group photos and keep your list manageable. Once you submit your list, I will review it and suggest any adjustments to make it more efficient. After finalising the list, we will stick to it.
6. I Will Be the Gatekeeper
On your wedding day, I will ensure that we stick to the list. If someone requests an unplanned photo, I will politely let them know that we will capture it later. This takes the pressure off you to accommodate everyone. For example, if Great Aunty Mildred wants a photo with you and Uncle Keith, I will let her know that we will grab a casual photo with them after the planned group shots are done.
7. Print Multiple Copies of Your Group Photo List
Once the list is finalised, print several copies. Give them to your runners, close family members and your wedding party. I will also keep a couple of copies. Having a written list ensures everyone knows what to expect and reduces confusion. It also helps when guests ask about their turn for photos.
8. Choose the Right Location for Group Photos
I will scout the venue for the perfect location for group photos. If you have a spot in mind, let me know. The ideal location is spacious, well-lit and preferably outdoors if the weather allows.
9. Timing Is Everything
Group photos work best immediately after the ceremony or after a confetti throw if you are having one. This is when guests are all in one place and have not yet dispersed to explore the venue or head to the bar.
